Terms

Our terms, in plain English.

Draft of 16 October 2026

1. Who we are and who these are for

Welcome Apps (“we”) makes Kerching, an app for trades and small businesses. These terms are between us and the business that uses one of our apps (“you”). They are for businesses, not for people buying as consumers.

3. The free month

Every business can use its app free for one month. We do not take card details for it and nothing is charged when it ends. If you do not choose a plan, your app becomes read-only, so you can still see your records and download everything, and one month after your free month ends it is deleted completely (section 4A).

Photos: during the free month you can add up to 30 photos in all, on your records and receipts. Once you are on a plan you can add up to 300 photos each calendar month. Your logo does not count. Taking a photo off again does not give it back to the allowance, as it has already been uploaded. Up to 20 photos can sit on any one record.

4. What you pay

Your app: £7.99 a month per business, paid each month in advance, for up to 10 people using the app. There is no setup fee and no charge per person.

More than 10 people? We give you a price in writing first. Nothing changes until you agree it.

Kerching PRO: £10.99 a month per business in all (not on top), paid each month in advance. If you stop PRO, your app carries on at £7.99 a month from your next payment date.

Other currencies: if you choose to pay in euros or US dollars, the prices shown on our website in that currency apply.

We tell you at least 30 days before any price goes up, and you can leave before it does. [Owner: say here whether prices include VAT.]

Paying: you can pay by card, Apple Pay, Google Pay or Direct Debit through Stripe, which renews by itself each month until you stop it (you can stop it from your app at any time), or by standing order, set up once in your own bank. Your app shows our bank details and a reference that belongs to your app alone; please always use it, so we know the payment is yours. You can also ask us for other ways to pay.

Reminders, so you do not lose your app by accident: we remind you in your app and by email before a payment is due (with automatic payment or a standing order in place, we only write if a payment does not go through). If a payment is late, your app carries on working as normal for 14 days. After that it becomes read-only: you can still see and download everything, and it unlocks as soon as the payment reaches us. If it is still unpaid one month after the date it was due, the app is deleted completely (section 4A).

4A. If you do not continue or stop paying: everything is deleted after one month

5. Changes made for you (PRO)

PRO you can ask for up to 4 small changes a calendar month, from inside your app. They are made one at a time: you can ask for the next one once the last is finished. We aim to finish each within 5 working days.

A small change is one we can make in about an hour or less, such as a new detail to record, a new or renamed stage, a new list or report, or a new reminder. If a request is bigger than that, we tell you, give you a price and you decide; a request we decline does not count against your 4. Changes you do not use in a month do not carry over. Only your two contacts can ask for changes, so that nobody changes your app without your say-so.

We review the allowance from time to time. If it changes, we tell you at least 30 days before.

6. Messages, problems and replies

We do not take phone calls. You contact us in writing, from inside your app or by email, so there is always a record of what was asked and what we said.

Who can contact us: the owner of the app and one deputy the owner chooses (for example, to cover holidays). Everyone else on your team uses the app but passes questions to one of them. The 4 changes a month are shared between the two.

7. Accounts

The accounts side works out figures from what you put in: invoices, payments, expenses and VAT. It is a record-keeping tool, not accounting or tax advice. It does not send returns to HMRC. You (or your accountant) remain responsible for your accounts, your tax returns and the figures in them.

7A. Your customers' pages, card payments and reminders

Each quote or invoice can have its own page for your customer, reached only by its long, private link. You decide who you send it to.

Card payments (including Apple Pay and Google Pay) go through your own Stripe account, under Stripe's terms between you and Stripe. The money goes from your customer to you; we never hold it, and Stripe's fees are yours. We are not responsible for Stripe's service, refunds or disputes, which you handle with Stripe.

If you switch on reminders, we email your customers about overdue invoices in your name, with replies going to you. You are responsible for your customers' details being right and for being allowed to contact them. Late payment charges are for business customers only, and adding them is your choice.

The tax figures (Making Tax Digital quarters, CIS, mileage, VAT) are worked out from what you enter, to help you and your accountant. They are not tax advice, and the app does not send anything to HMRC.

8. Keeping your app running

We host your app on a server in the UK and back it up every day. We aim to keep it available at all times, but we cannot promise it will never be down, for example during maintenance or a fault at our hosting company.

9. Your free website

You write the words on your one-page website and you are responsible for them being true and lawful. We may take down anything unlawful. Enquiries sent through it go into your app; you are responsible for how you use them, under data protection law. The website stays free for as long as you keep your app, and is taken down if you leave.

10. Your records are yours

Everything you put into your app belongs to you. You can download all of it, photos included, at any time. We use it only to run your app, as our privacy page explains. When you leave, you can download everything first, or the owner can delete the app at once from its menu; we then delete it completely, and copies in our backups are removed within 30 days.

11. Using the app fairly

Please keep your logins to yourselves, do not try to get into other customers’ apps or our systems, and do not use the app for anything unlawful. If someone does, we may suspend their access.

12. If something goes wrong

We take care, but no software is perfect. If we are at fault, our total responsibility to you in any year is limited to what you paid us in the 12 months before the problem. We are not responsible for lost profits or other indirect losses. Nothing here limits our responsibility for anything the law does not allow us to limit, such as fraud.

13. Leaving

There is no contract to tie you in. You can stop PRO at any time; it ends at the end of the month you have paid for. You can stop your app at the end of any month you have paid for. Payments already made are not refunded once the free month is over, because you have already had the chance to try the app for real. We can end our service with 60 days’ notice, and we will give you your records.

14. Changes and the law

If we change these terms we will email you at least 30 days before. These terms are governed by the law of England and Wales.
